Clock shifts and review time records
For employees recording work and managers reviewing it. Scheduled shifts and
actual time records are different: publishing a rota does not clock someone in.
At the start and end of a shift
In the staff app's Employee tab, confirm your name and location. Check the
shift information and select Clock in when starting work. Read any timing
prompt and verify On shift and its recorded start time.
At the end, select Clock out and verify the status. An old On shift
record may indicate a forgotten clock-out; have the manager check the actual
work times before correcting it. The app can allow clock-in without a published
shift; that does not establish that the manager authorised an unscheduled shift.
Check device sync
A clock action can be retained locally while offline. A notice saying it is
saved on this till and waiting to sync is not proof that it reached the server.
Restore the connection and check the central record. Time records need
review means the original times were not accepted and remain on the till.
Use Time record recovery before retrying or
entering a manual replacement. Do not sign out, reinstall, or clear device data
while clock actions are pending.
If clock-out says to wait for the shift to sync, restore the connection and
check the same open shift before trying again. If clock-in asks you to sign in
again, first check for pending time actions and follow
Time record recovery. Preserve those records
and have the shift leader resolve identity or location access before signing
out; do not create a duplicate manual shift as a shortcut.
Search actual records in the Console
- Open Team → Time tracking.
- Choose Location and Date range, then Search.
- Review employee, start time, end time, duration, and active records.
- Compare with the published rota and the employee's actual work. Check dates
for overnight shifts; do not assume an end time belongs to the start date.
- Investigate missing or overlapping entries before using totals in reporting.
An empty result can be a wrong location or date range, not proof that nobody
worked. Failed queries have a retry path; preserve the search criteria.
Correct a genuine recording error
With the appropriate permission, use the row's edit action to correct start or
end time, then save and refetch. Add time track creates a manual record:
choose location, employee, start, and end; leave the end empty only for a shift
still running. Check the existing records and pending device actions first so
that a late sync does not duplicate the manual entry.
Deletion has a permanent confirmation. Do not delete a record just to make hours
or closing warnings disappear. Agree the actual correction with the manager,
then verify the resulting records and daily report.
Labour costs are estimates based on available rates and defaults. The tool
records time; it is not a replacement for verified HR or payroll processing.
Escalate with location, employee record, actual start/end, displayed status,
device sync state, and error through an authorised channel.
