Receive a purchase-order delivery
For receiving staff. Staff app: Settings → Stock → Receive PO. Choose the
correct location, supplier, and submitted or partially received order. In the
Console, open Stock → Purchase orders and the existing order's receipt flow.
Check what actually arrived
- Compare the delivery paperwork and physical goods with each line. Read
ordered, previously received, previously rejected, and remaining quantities.
- Enter the accepted quantity in the displayed pack or base unit. Check its
delivered price per displayed denomination against the delivery note.
- Use Fill as ordered only when every open line actually arrived as
expected. It fills outstanding quantities; it is not a physical check.
- Record rejections or substitutes separately before confirmation.
- Review Confirm this delivery, then Record receipt. Verify the success
result, stock quantities, and remaining order lines before leaving.
A partial delivery leaves outstanding goods to receive later. Do not enter the
full original order again on a second delivery or add a second unplanned
delivery for the same goods. Changed delivered prices must use the displayed
pack/unit.
Rejected goods and substitutes
Reject records quantities returning with the driver, reason, evidence, and
notes. Rejected goods do not enter stock; review the resulting supplier credit
through Supplier credits. A recorded credit is not
proof that the supplier has already paid it.
Different product records what actually arrived. Choose a stocked pack and
its delivered price, or Not in the list → Send for approval for a new
product. An unapproved new substitute is not received on that line yet. Receive
the other valid lines and return after the product is approved.
Do not receive the substitute as the ordered product just to clear the line. A
substitute and a rejection are different decisions; record each accurately.
If receipt is uncertain
If the form says Enter quantities to receive, review the accepted and
rejected quantities. At least one line needs an actual quantity; do not invent a
receipt to dismiss the message.
Reopen the same order and check received/rejected quantities and stock activity
before retrying. Keep the delivery reference, unit, physical result, prices, and
exact error. Use Delivery without an order only
for goods not already being received against this PO.
