# Configure suppliers and their products

**Console: Stock → Suppliers.** For the purchasing manager. Search existing
suppliers before using **Add supplier**. Add only the necessary company and
contact details, then open the saved record.

In the supplier list, **Status** shows active/inactive and any **Approved**
label together. **Schedule** shows delivery days, then the suggested next
delivery and ordering cutoff where configured. A dash means no delivery days
are configured. Use **View** to show the **Created** column if you need it.
Treat the schedule as a planning aid and confirm the delivery with the supplier.

## Add the supplier's packs

Under **Items & Pricing**, select **Add item**, choose the stock item and
variant, and enter its supplier SKU and unit cost. The cost must refer to that
pack. Review lead time and **Preferred supplier for this variant**, then save.

A stock item without packaging variants needs its packs set up first. Check
[Stock items and packs](/stock/items-and-packs). The same physical pack can have
different prices from different suppliers; a preferred flag is not proof that
the supplier is cheapest or currently able to deliver.

Inspect price history and any price-change notice before ordering. Remove a
catalogue link only after checking the orders and guides using that product.

## Review terms and approval

Check company/contact details, payment terms, and ordering terms: minimum order,
delivery fee, free-delivery threshold, lead time, delivery days, cutoff, and
order channel. Save the intended settings and verify them. A chosen order
channel is configuration; it is not evidence that a particular PO was sent.

**Approved suppliers only** restricts ordering to approved suppliers when
enabled. Review each supplier's **Approved** state and use the authorised
approval action. Do not disable enforcement merely to get around a blocked PO.

If a delivery-date or cost suggestion differs from the supplier's confirmation,
verify the supplier terms and intended order rather than treating a suggestion
as a contractual commitment. Use [Purchase orders](/guides/purchase-orders) for
drafting, approval, and actual supplier sending.

If saving fails, preserve settings and read the error. After an uncertain
creation or update, inspect the existing record first. Escalate with supplier,
pack, relevant term, intended price/unit, and error through an authorised
channel; keep supplier contacts and private business documents out of public
screenshots.
