# Review proposed stock and supplier changes

For the authorised stock or purchasing reviewer. Open **Review changes** from
the relevant scanned supplier document or suggestion. Confirm the business,
location where relevant, supplier, document, and every scanned page. Extraction
is a proposal, not verified supplier or kitchen information.

## Review each proposed change

Compare the proposed name, current/new value, unit, pack and price with the
original document and existing catalogue. Use **Previous page / Next page**
where the scan has several pages. Read **Check this one** notices and untick
anything incorrect before applying.

| Proposed change | Check before accepting |
| -------------------------------- | ----------------------------------------------------------------------------------- |
| New supplier, contact or terms | Actual supplier identity and authorised account/contact information |
| New category, unit, item or pack | Existing matches, correct unit and pack conversion; no accidental duplicate |
| Supplier price or price change | Correct pack, net cost, old/new values and effective supplier document |
| Match a document line to stock | Actual product and pack; investigate any document-versus-saved pack warning |
| Match a credit note to a claim | Correct supplier, claim and amount; accepting records credit received and allocated |

Credit receipt/allocation is an accounting record, not proof of a bank payment
or physical stock receipt. Review [Supplier credits](/stock/supplier-credits).

Some changes depend on another proposed record. Read the dependency count before
unticking a parent. **Nothing to attach this to now** means the dependent change
is skipped, not applied. Do not create an unrelated item to force it through.

## Apply and verify

1. Check the selected count and every intended change. Resolve the missing
permissions notice with an authorised reviewer; reviewing is not permission
   to apply.
2. Use **Apply … changes** once for the reviewed selection.
3. Wait for the result and reopen the same set. Inspect **Applied**, **Already
existed**, **Failed**, and skipped rows rather than relying only on a toast.
4. Verify the actual saved supplier, item, pack, price or credit record.
5. For a delivery document, complete its separate
[invoice approval](/stock/invoices) or [receipt](/stock/receiving) only after
checking whether those goods were already received.

**Applying does not receive stock.** Saved catalogue changes and stock movement
are separate outcomes. Applying is also not a supplier order or message.

## Some changes did not apply

The partial-result notice preserves successful changes. Read each failure and
its dependencies, repair the cause with the authorised stock lead, then use the
offered **Retry … changes** on that same set. Reopen and verify every remaining
row afterwards. Escalate a skipped or failed row that has no supported recovery;
do not scan/create a second set to conceal the partial result.

If another reviewer changed the set or it is already being applied, reload and
review the latest result before another action. A timeout does not establish
that nothing changed. Check existing records and the original set first.

## Discard a bad draft

**Discard** is for an unapplied set based on the wrong or unusable scan. Check
that no changes were already applied before using it; then rescan the correct
document when needed. A partially applied or applied set cannot be discarded as
an undo. Preserve its history and use the supported record correction with the
responsible reviewer.

Escalate with document/set reference, affected row, intended value, observed
status, unit/pack, successful changes and exact error. Share supplier documents
and account details only through authorised channels.
