# Build purchase orders across suppliers

For the stock lead. **Console: Stock → Purchase orders → Order Builder.**
Confirm the working location and actual demand. This proposes a buying plan
using known supplier prices and packs; it is not a guarantee of the lowest final
delivered invoice or the supplier's acceptance.

## Set what you need

1. Review **What you need**, including the suggested on-hand/par context.
2. Enter the required quantity in the item's displayed base unit. This is
different from the supplier packs shown later. Check volume, weight and count
   units before entering numbers.
3. Use **Add an item…** for an actual additional requirement. Choose **Any
pack** or an intended pack where offered. Remove items you do not need.
4. Wait for repricing after quantity changes. Check the latest plan and total
before creating orders; old values during **repricing…** are not a finished
   quotation.

An empty recommendation does not prove the restaurant is stocked. Check opening
quantities, reorder configuration, physical needs and existing orders. See
[Auto-Order](/stock/auto-order).

## Compare the supplier plan

Each supplier group shows its lines, chosen packs, pack quantities and costs.
Compare the cost of the amount actually bought, not just the price of one pack:
whole-pack quantities can exceed the required base amount.

Where alternatives are offered, open **Buy … from…** and review another supplier
or pack. Recheck the line quantity, total and supplier grouping after a swap.
**Use cheapest (auto)** clears an explicit choice; inspect the resulting plan
again. A changed requirement can change available alternatives, so verify the
selected supplier before the final save.

Check minimum-order warnings, free-delivery threshold and delivery charge
information. If the plan says **Delivery terms are unknown**, verify them with
the supplier before sending. The headline and confirmation total are **goods
only**; delivery fees can be billed separately. Below-minimum confirmation is
not permission to ignore the supplier's requirements.

**No eligible supplier** and **… won't be ordered** mean those requirements are
excluded from the plan. Review active supplier pricing, packs and minimum
quantities, then reprice. Do not claim the whole requirement is purchased when
unassigned lines remain.

## Create and check the drafts

1. Select **Create … POs** and read **Create purchase orders**.
2. Review each supplier, line count, goods subtotal, total and any minimum
warning. Cancel if the plan does not match the intended purchase.
3. Confirm once, then inspect **Purchase orders** and verify each saved draft.
4. Follow [Purchase orders](/guides/purchase-orders) for the separate approval
and supplier-send workflow. Stock increases only through the actual
   [receipt flow](/stock/receiving).

Draft creation can succeed for some suppliers before another fails. **… of … POs
were created** requires checking the existing drafts and their lines before
another attempt. After a timeout, inspect the same location's orders first. Do
not press Create again on the entire plan until the missing work is known; a
repeated multi-supplier attempt can create duplicate drafts.

## Recover a pricing error

For **Couldn't price this order**, restore the connection and use **Try again**.
Check saved supplier prices and the required quantities before changing them. A
failed price query is not a zero-cost plan.

Escalate with location, item/base unit, required quantity, selected
supplier/pack, price basis, unknown terms, created drafts, unassigned lines and
exact error. Keep supplier account details and unrelated personal records out of
captures.
